Getting Started with STOEP

1. Account Setup

1 Navigate to Login Page

Go to the STOEP login page at your organization's URL

2 Enter Your Email

Enter your registered email address (example: user@example.com)

3 OTP Verification

Check your email for a 6-digit One-Time Password (OTP) and enter it on the verification screen

4 Access Dashboard

After successful verification, you'll be redirected to your personalized dashboard

2. First-Time Login Checklist

  • Complete your profile information (full name, phone, business name)
  • Review the Dashboard overview and compliance score
  • Explore the Compliance section to see your assigned tasks
  • Check the Documents section to understand upload requirements
  • Familiarize yourself with the navigation menu
Security Tip: Never share your OTP codes with anyone. STOEP staff will never ask for your OTP.

Dashboard Overview

Your dashboard provides a real-time snapshot of your compliance status:

  • Compliance Score: Visual progress circle showing your overall compliance percentage (0-100%)
  • Task Summary: Quick counts of pending, completed, and rejected tasks
  • Recent Activity: Timeline of your recent actions and admin responses
  • Quick Actions: Shortcuts to upload documents, add products, or complete tasks

Managing Compliance Tasks

Viewing Your Tasks

  1. Navigate to Compliance from the sidebar
  2. View all assigned compliance tasks organized by status
  3. Filter by: Pending, In Progress, Completed, Rejected
  4. Click any task to view details and requirements

Completing a Task

1 Select Task

Click on a pending task from the list

2 Review Requirements

Read the task description and required documentation

3 Upload Evidence

Upload photos, documents, or other required files

4 Mark Complete

Click "Mark as Complete" to submit for admin review

Document Management

The Documents section tracks all your uploaded files and their approval status:

  • Pending: Awaiting admin review
  • Approved: Verified and accepted
  • Rejected: Needs revision (check rejection reason)
Document Tips: Ensure files are clear, legible, and under 10MB. Accepted formats: PDF, JPEG, PNG.

Admin Dashboard Overview

The admin dashboard provides oversight of all platform activity:

  • User Statistics: Total users, active shops, and overall compliance trends
  • Pending Reviews: Count of documents and tasks awaiting approval
  • System Health: Platform performance and data integrity metrics
  • Recent Submissions: Latest user uploads and task completions

Document Review & Approval

Reviewing Submitted Documents

  1. Navigate to Admin - Documents
  2. View list of pending documents
  3. Click document to open full preview
  4. Review document quality, validity, and compliance
  5. Choose action: Approve or Reject

Approval Workflow

1 Open Document

Click pending document from the queue

2 Verify Details

Check document type, date, user, and content

3 Make Decision

If valid: Click "Approve". If issues: Click "Reject" and provide reason

4 Confirm Action

Action is immediately saved and user is notified

Critical: Approvals and rejections directly impact user compliance scores. Always provide clear rejection reasons.

Compliance Score Impact

Admin actions trigger automatic compliance score recalculation:

  • Approval: Increases user's compliance score based on task weight
  • Rejection: May decrease score and moves task back to pending
  • Yo-Yo Effect: Scores update in real-time, reflecting current compliance state

Common Workflows

Workflow 1: New User Onboarding

  1. User receives invitation email with registration link
  2. User completes profile setup (name, phone, business)
  3. Admin assigns initial compliance tasks
  4. User uploads required documents
  5. Admin reviews and approves documents
  6. User's compliance score reaches operational threshold

Workflow 3: Compliance Task Completion

  1. Task Assignment: Admin creates or auto-generates compliance task
  2. User Notification: User receives task in dashboard
  3. Task Execution: User completes requirements and uploads evidence
  4. Admin Review: Admin verifies task completion
  5. Score Update: Compliance score adjusts based on approval/rejection
  6. Tracking: Task moves to completed or rejected status

Troubleshooting & FAQs

Login Issues

Q: I didn't receive my OTP code

Solution:

  • Check your spam/junk folder
  • Verify email address is correct
  • Wait 2-3 minutes (OTP may be delayed)
  • Request a new OTP if needed
  • Contact support if issue persists

Q: My OTP code doesn't work

Solution:

  • OTP codes expire after 10 minutes
  • Request a new code
  • Ensure no extra spaces when pasting
  • Check that you're using the most recent code

Compliance Score Issues

Q: My compliance score didn't update after completing a task

Solution:

  • Tasks require admin approval before score updates
  • Check task status (may still be "Pending Review")
  • Refresh dashboard to see latest score
  • Contact admin if score seems incorrect after approval

Q: Why did my compliance score decrease?

Solution:

  • Admin may have rejected a previously completed task
  • Check Notifications for rejection reasons
  • Review rejected tasks in Compliance section
  • Re-complete rejected tasks to restore score

Document Upload Issues

Q: My document upload fails

Solution:

  • Check file size (must be under 10MB)
  • Ensure file format is PDF, JPEG, or PNG
  • Try compressing large images
  • Check internet connection
  • Try refreshing page and uploading again

Q: My document was rejected. What should I do?

Solution:

  • Read the rejection reason provided by admin
  • Address the specific issues mentioned
  • Re-upload a corrected document
  • Contact admin if rejection reason is unclear
